Job Description

The Document Control Specialist assists and supports the project team by providing strong leadership for document processing and automation for retrieval, filling, and indexing, of documentation for a large construction project.  Position requires exceptional computer proficiency and organizational and time management skills, as well as have strong communication and client service skills. Dewberry has an exciting opportunity to join our Quality Assurance team working on a long term premier construction project in our Virginia Beach, VA location.

Responsibilities

  • Manage, maintain, evaluate, and continuously improve existing record management system.
  • Create, edit and control, index, link, file, track, and distribute documents in Aconex, Smartsheet, Sharepoint, FieldWire, GoCanvas, Plangrid, PowerBI, and other Project and Construction Management programs.
  • Assist IT staff on efforts to Automate processes and data flow using computer software platforms and cloud based database systems.
  • Read and interpret technical requirements to determine the document processing timelines and records distribution with regards to document management.
  • Process project documents and maintain document control files in accordance with project document control procedures.
  • Distribute, transmit, or submit as necessary correspondence, technical records, project test reports, and other records to internal and external personnel.
  • Review current record status and make recommendations for allocation of project resources.
  • Coordinate with Engineers, project managers, and field staff as necessary to ensure records are retrieved, appropriately recorded and stored.
  • Ensure consistency in document management procedures across multiple project disciplines.
    • Develop metrics for reporting status to project leadership.
    • Interface with document management personnel on the client, contractor, and design teams.
    • Perform training on document collection and storage systems and processes.

Required Skills & Required Experience

  • 6+ years of previous experience managing a Document Control effort for a large-scale construction project or industrial facility.
  • Proficient knowledge of software programs including Microsoft Office products, Aconex, Adobe, Bluebeam, Smartsheet, SharePoint, FieldWire, GoCanvas, Plangrid, and PowerBi.
  • Self-starter attitude with proactive, results-oriented focus.
  • Knowledge of document control standards, construction submittals management, construction specifications management, Quality Assurance audits, and electronic processing of materials test reports and Inspection reports;
  • Strong financial/business knowledge;
  • General understanding of construction industry;
  • Strong written and verbal communication skills;
  • Ability to maintain discretion and confidentiality at all times;
  • Ability to develop or maintain relationships with clients;
  • Strong decision making/problem solving skills;
  • Industry experience with document processing and data management in a Construction Management or Quality Management environment.
  • Experience with construction project closeout.
